Stock notifications

Who gets the back-in-stock email, exactly when it fires, and why it only fires once.

A signed-in portal customer can ask to be told when an out-of-stock SKU comes back. They get a confirmation on the spot: "We'll email you when the SKU is back in stock."

When the email fires

On stock receipt. When you receive stock against a SKU, and the resulting available quantity is above zero, everyone waiting on that SKU is emailed immediately. The subject is "Back in stock:" plus the SKU code, and the body links them to the portal to reorder.

Receipt is the trigger, not any stock movement. A reservation being released, or a return crediting units back to the shelf, does not send the emails.

Once only

Each subscription is stamped as notified when it sends and never fires again. A customer who wants telling next time has to subscribe again. That is deliberate: the alternative is a standing subscription that emails them on every delivery for the rest of the year.

Available, not on hand

The check is on available stock, meaning on hand minus what is reserved for accepted jobs. If a delivery of 50 lands and 50 are already committed to a job, nothing is available and no email goes out. That is the honest behaviour: telling a customer a garment is back when it is already spoken for is worse than saying nothing.

Receiving a purchase order counts

Landing a delivery against a purchase order receives every unit through the same stock path, so the back-in-stock emails go out as part of booking the delivery in. You do not have to do anything extra after a PO arrives.

There is no subscriber list screen

Waiting customers are recorded against the SKU, but there is no admin page listing them today, and no count of them on the inventory or purchase-order screens. If you need to know demand for a SKU before ordering, work from open orders and sales history rather than expecting a waiting-list figure.
